A Framework:
Ever felt inundated trying to jot down every single word in a meeting? You're not alone. Many professionals grapple with generating effective and beneficial meeting notes. But fear not. I have a systematic strategy that will escalate your note-taking abilities to new heights. Following this system increases your ability to transform raw meeting data into valuable insights:
1. Prepare Before the Meeting
Start by reviewing the meeting agenda. What are the key topics to be discussed? Who will be speaking? Having this information ahead of time allows you to create a basic note-taking structure and focus on the most important points during the meeting.
Use this tool: Your meeting's agenda can serve as a guide.
Having the topics and speakers in mind will help you prepare better.
2. Determine Your Note-Taking Method
Choose a note-taking method that suits your style and the nature of the meeting. Traditional methods like the Cornell System or Outline might work for some, while others might prefer digital tools like Evernote or Otter.ai.
Use this tool: Experiment with different methods like the Cornell System or apps like Evernote.
3. Capture Key Points, Not Transcripts
The goal of note-taking isn't to capture a verbatim transcript of the meeting. Instead, focus on key points, decisions, action items, and follow-up questions. Remember, quality over quantity.
Use this tool: Here is an idea! Use ChatGPT to summarize a meeting transcript from Riverside
Focus on decisions, action items, and follow-up questions.
4. Review and Organize Your Notes
After the meeting, take a few minutes to review and organize your notes. This helps consolidate your understanding and ensures that nothing important slips through the cracks. It's also a good time to clarify any points of confusion.
Use this tool: Use apps that allow for easy editing and reorganization of your notes such as Evernote, Notion, or Apple Notes.
5. Share and Follow Up
If appropriate, share your notes with other meeting participants. This not only helps everyone stay on the same page but also allows for corrections or additions. Lastly, make sure to follow up on any action items or responsibilities that you've noted down.
Use this tool: Use email, shared drives, or project management apps to distribute your notes efficiently.
This strategy will help you move from being overwhelmed by note-taking to becoming a note-taking master.
And the best part? You'll never feel overwhelmed in a meeting again.
Do you feel your workweek is swallowed by emails and meetings?
According to Microsoft's study, the avg worker spends 2 full days per week on email and meeting apps, leaving only 43% of their time for actual work.
An Automation Idea:
↓ Trigger. Once a meeting request is received in Calendly, the automation will capture the details of the request, including the name and email.
↓ CRM Update. Then, the automation will search for the customer in Hubspot CRM. If an existing profile is found, it will be updated with the meeting details. If not, a new profile will be created.
↓ Background Research. The automation will use the browsing features of ChatGPT to perform a quick background check on the meeting attendee. This could involve searching for the attendee's professional profile on LinkedIn or their company's website.
↓ Meeting Template. Then, it will create a Google Doc, adding all the info found. This document will also include a template for note-taking during the meeting, and a suggested agenda based on the purpose of the meeting.
↓ Meeting Confirmation. Finally, it will generate a Google Meet link, add it to the Google Doc, then share, with all the attendees, a meeting confirmation with the suggested agenda.
Did you want effective meetings? It will not get better than this!
